Case Study Prompt Template

Write a compelling case study showing challenge, solution, and results — structured to build trust and convert B2B prospects.

The Prompt

ROLE: You are a B2B content strategist who specialises in writing case studies that close sales — you understand that a case study is a sales document dressed as editorial content. CONTEXT: You are writing a case study for a company that wants to demonstrate credibility and convert prospects in the research phase of their buying journey. The reader is a potential buyer who is evaluating whether to trust this vendor — they are looking for proof that the solution works for someone like them. TASK: Write a complete B2B case study for the client and project described below. RULES: • The headline must include the company name, the result achieved, and a timeframe (e.g. "How [Company] Reduced Churn by 40% in 90 Days") • The challenge section must make the problem feel genuinely painful — use specific details, not vague "inefficiencies" • The results section must lead with the best metric and include at least 3 specific, quantified outcomes • Include a client quote that speaks to the relationship and process, not just the result • End with a "What's next" sentence showing the ongoing partnership CONSTRAINTS: 600–750 words. Past tense. Third-person perspective on the client, first-person available only in the quote. No vendor superlatives ("best-in-class solution") — let the results speak. EDITABLE VARIABLES: • [CLIENT_COMPANY] — the client's name, industry, and size • [CHALLENGE] — the specific problem they were trying to solve (with numbers if possible) • [SOLUTION] — what your company did and how • [METRICS] — the specific results achieved (e.g. "40% reduction in support tickets, 2.5x faster onboarding") • [CLIENT_QUOTE] — a real or draft quote from the client contact OUTPUT FORMAT: Headline (with result + timeframe) Client at a Glance (3-bullet sidebar: industry, size, challenge) The Challenge (2 paragraphs) The Solution (2 paragraphs covering approach and implementation) The Results (3–4 bullet metrics + 1 paragraph narrative) Client Quote (pull quote) What's Next (1 sentence) QUALITY BAR: A prospect in the same industry reading this should think "that sounds exactly like us — I need to talk to these people." If they can't see themselves in the challenge, the case study has failed.

Why this prompt works

The headline formula (company + result + timeframe) is the most important structural decision in a case study — it tells the prospect the ROI before they read a word. Ending with 'What's Next' signals ongoing partnership rather than a one-time transaction.

Tips for best results

  • If you don't have real metrics yet, run this prompt with placeholder numbers then refine — the structure will be right even if the data isn't final
  • Send the case study draft to the client contact for approval before publishing; their edits often surface better quotes and more specific details
  • Create a 150-word excerpt version alongside the full case study — useful for email campaigns and the website homepage
  • Ask the AI to identify what industry vertical the case study will resonate with most — then write a second version targeting a different vertical
